DESCRIPTION:

Job Summary:

This position within Heller Productions Inc., is responsible for activities related to event planning of meetings, conferences, training workshops, and conventions, special event galas, incentive travel and golf related events and tournaments.

Duties & Responsibilities:

Manage assigned projects in the area of meeting/event planning for a variety of meetings, conferences, training workshops, and conventions.
This includes, but not limited to; assisting with research and information gathering for different meetings, events and projects, with various vendors for meetings.
Participate in the strategic planning process for all meetings and events to ensure continual improvement and quality customer service.
Create and support spreadsheets and documents used for registration process to include registration notification, correspondence with attendees, providing hotels with rooming needs, ground transportation companies, and off-site vendors.
Assist with logistical details of meetings, including room set-up, audio visual, transportation, housing, and food and beverage for meetings.
Assist in tracking budgets to ensure revenue and expenses are kept within established boundaries and reconcile event bills.
Assist with review and approval of transactions between Heller Productions Inc. and third party vendors.
Assist Travel Agents in booking travel reservations; identifying itineraries, booking airline, car, and hotel accommodations.
Other duties as necessary to contribute to the overall success of Heller Productions Inc.

REQUIREMENTS:

Knowledge, Skills, & Abilities:

Knowledge of:
Principles and practices of meeting planning and travel industry.
Experienced in special event or conference planning with independent or corporate meeting planning.
Computer applications used in general office settings, including word processing, excel, database management, email software related to the travel industry; internet search engines.
Standard English grammar and usage; demonstrated excellence with verbal and written communication skills.

Skills and Ability to:
Work independently, self-motivated and detail oriented; use independent judgment.
Time management skills and ability to organize, prioritize, and coordinate assignments with the ability to initiate, plan, prioritize and conduct multiple projects successfully and meet frequent deadlines; and complex calendar management.
Have excellent interpersonal skills; demonstrate strong customer service skills.
Excellent writing skills as well as the ability to comprehend written materials and oral communication.
Have the ability to work effectively under pressure and be flexible and adaptable to change.
Experience in working with all levels of management and staff.
Show sound judgment when dealing with sensitive or confidential information.
Some travel involved (5-10%)
Availability to work some evenings and weekends. (10%)

Education & Work Experience required:
minimum of 3-5 years of Corporate & Special Event Planning Experience. Education – University Degree, Event Planning Designation or Industry specific designation MPI, CMP
